This account allows a registered user of the eLearning portal (you) to:

  • Use the training resources provided by Public Record Office Victoria (PROV/ we/ us);
  • Use our platform to complete courses and download a certificate of completion; and
  • Use forums and messaging within the site.

We ask that you read and agree to the following terms and conditions that govern your use of this account.

Use of your account

  1. Your user account identifies you to us. You must make reasonable efforts to ensure that your account is kept secure and is not misused by a third party. This includes keeping your user name and password secure and not sharing them with others.
  2. You must not let another person use your account.
  3. You must ensure any personal details you supply are current and that we have a valid email address to contact you.
  4. While we do our best to ensure that the information in our courses is accurate, we accept no legal liability should you choose to rely upon this information or for how you use the courses to which your user account gives you access.
  5. It is your responsibility to ensure that any information you share to our website is accurate and verify information provided by other users. We do not accept any legal liability for inaccurate or misleading information uploaded to our website by you and other users.
  6. When using forums or messaging within the site be considerate, respectful, and encouraging to other users. Use appropriate language. Consider the aim of each discussion forum.
  7. If we become aware that you are acting in breach of these terms and conditions, we may cancel your user account immediately without notice.
  8. We can also take reasonable measures to protect your account from unauthorised use or interference by a third party.
  9. We can cancel this service at any time. We will make reasonable efforts to inform you that this service is being discontinued.

Personal details and your privacy

  1. To access PROVs training resources, you need to provide a valid email address, first and last name, and the agency or organisation you are affiliated with.
  2. If you request further information, or if you are employed by a Victorian Government agency and are required to complete training for your agency, we may request additional information to verify your organisation.
  3. Your personal information will be used for the purposes of providing PROV services including accessing training and requesting support for our eLearning portal. It will be kept secure and not be used or disclosed for any other purpose without your permission unless required by law. You can ask to see the personal information we hold about you by contacting us. Your personal information will be deleted when no longer needed for any purpose. Our Privacy Policy governs how we use any personal information we collect.

Reporting

  1. We periodically run reporting on intake numbers and completion of courses provided on our eLearning platform. Final reports are summarised and anonymised.

Full policy

PROVs online learning portal is separate to PROVs website. It is a Learning Management System (LMS) hosted by a third party, Pukunui Technology. PROV is the site owner and manages the personal data of site users.

We collect your personal information to create an account for you on the LMS. This includes your first and last name, email and organisation.

We collect information about your use of the LMS such as your completion of an online course. This information is collected for reporting purposes.

Your email address may be used to notify you of new or updated courses on the LMS and to collect your feedback.

Any personal information we collect on the LMS is stored in an AWS data centre in Sydney and cannot be moved from that location without PROVs consent. Personal information collected on the LMS can be accessed by Pukunui and PROV.

We will not disclose your personal information to other third parties, except where required to do so by law.
